The problem

Most small labs are stuck on paper, spreadsheets, and 1990s software

Most small dental labs run cases on paper slips, payroll on spreadsheets, invoicing on QuickBooks templates, and accounting on whatever the bookkeeper inherited from the last one. None of these tools talk to each other. Lab owners spend Saturday afternoons figuring out what each tech did, what each case actually cost, and whether last month's revenue was real.

Off-the-shelf "lab management software" mostly exists for 50+ technician labs — priced per seat, with hosted databases, support contracts, and ongoing fees that don't pencil out for a smaller shop. The owners I talked to wanted something different: one tool that runs on the front-desk PC, no monthly subscription, no internet required, and built around how a small lab actually works.

LabMate is that tool. Built specifically for labs of 1–15 technicians. One install. One owner. No vendor between you and your data.

What's inside

Everything a small lab actually needs, nothing it doesn't

Case tracking — from pickup to ship

Every case moves through the lab on a real workflow, not a paper slip. Scan a barcode at each stage. Know who has what, when, and what step is next — without anyone asking.

Per-step technician payroll

Pay by the piece, by the step, the way you actually pay. Each step a tech completes credits them automatically. Month-end payroll matches what they did — no spreadsheet reconciliation, no underpayment disputes.

Integrated invoicing — with re-bill protection

Invoices generate from completed cases with one click. Built-in safeguards stop the same case being invoiced twice. Statement-ready PDFs go to the customer in seconds, not at the end of the month.

Materials inventory with real cost

Track materials at their actual cost — not last quarter's. See your true margin per case, per technician, per material. Spot when you're losing money on a job type, not after a year of doing it.

Month-end close in one click

End the month with a single accountant-ready folder: invoices, payroll, materials cost, P&L summary. Hand it to your bookkeeper. QuickBooks export bundled in if you do it yourself.

Runs offline, on your lab PC

No internet required after install. No SaaS subscription. No cloud account. Installs in one click on Windows 10/11. Your data stays on your computer, with automatic backups to OneDrive (or wherever you choose).

FAQ

Questions lab owners ask

Who is LabMate for?
Small dental laboratories with 1–15 technicians, doing crown & bridge, dentures, implant work, or full-arch. If you're running cases off paper slips, spreadsheets, or legacy software that can't do real accounting, LabMate is built for you.
Is this SaaS? Do I pay monthly?
No SaaS, no monthly fees. LabMate is a Windows desktop app you install once on your lab's PC and own outright. One-time license. No internet required to run.
What does LabMate cost?
LabMate starts at $1,995 one-time — and that includes setup and your first year of updates. It's a license you own outright: no monthly subscription, no per-seat fees. Larger labs (closer to 10–15 technicians) with more configuration are scoped up from there. Book a free demo and I'll give you an exact number for your lab.
How long does setup take?
Installer runs in under 5 minutes. First-time setup (adding your technicians, material categories, customer list) takes 30–60 minutes. Most labs are running their first cases through it the same day.
What if I already use other lab software?
I can migrate your case history, customers, and materials catalog. Most legacy systems export to CSV — I take it from there. Migration usually takes 1–2 days.
Does it work with QuickBooks?
Yes. Built-in QuickBooks CSV export at month-end. Invoices, payroll, and materials cost all flow into the right accounts for your bookkeeper.
What happens if my computer crashes?
LabMate auto-backs up to OneDrive (or another folder you choose) every time the app closes. Reinstall on a new PC, restore the backup, you're running again in under 10 minutes. Your data lives with you, not with a vendor.
